Finance and Administration Assistant
Location: Hawkridge House, Wellington, Somerset
Salary: £26,000 per annum
Hours: 37.5 per week, worked flexibly Monday to Friday, but applications from those wanting a minimum of 30 hours per week will be considered
Overview
We’re looking for a friendly, efficient and dynamic person to join our Finance and Administration team based in Wellington, Somerset. FWAG SW has grown considerably in size and complexity in recent years and we are now looking for some more dedicated support within this team to ensure the continued smooth and efficient running of our support services.
Principally, the role will cover a broad range of finance and admin tasks and some previous relevant experience will be useful, although further training in the role will be provided. Support to attain your first level (or next level) finance qualification, e.g. AAT Foundation, may be offered to the right applicant. A desire to develop your career in finance will be an advantage.
The successful candidate will work closely with other members of the Finance and Administration team, Team Leaders and our Farm Environment Advisers, but may assist and support all employees, as required, through the provision of effective financial and administrative support.
FWAG SW specialises in delivering environmental improvements in the farmed landscape. We concentrate on delivering real change on farmland by working with land managers and landowners across the region. Combining an understanding of farming systems, land management and farm businesses with habitat creation, habitat management and species conservation, FWAG SW is able to effect positive environmental change in the wider landscape. We also focus on helping farm businesses manage their natural capital assets like soil, water and carbon. FWAG SW specialises in making government policy, environmental incentives and regulations and emerging environmental markets accessible and meaningful for farmers and land managers at a practical delivery level.

Main Purposes of the Role and Key Responsibilities
- Monitoring and processing accounts emails
- General finance processing using Sage: sales and purchase invoices, setting up new suppliers/customers and creating purchase orders
- Collating purchase invoices for payment, including checking bank details and logging payment on Sage once payment has been made.
- Receipt and checking of staff mileage/expenses claims. Entering these on Sage and preparing for payment.
- Assisting the Office Manager with monitoring debtors and taking the necessary steps with debt recovery
- Supporting the Financial Controller with other accounting processes
- Assisting with compiling evidence and collating claims on projects
- Communicating effectively via email, telephone and in person with clients, colleagues, partner organisations and stakeholders, dealing with queries appropriately and/or directing to the appropriate person
- Dealing with bookings for car hire, room hire, overnight accommodation
- Communicating with landlords on any general premises issues
- Monitoring/ordering of office supplies
- Providing general support to Team Leaders and other employees
- Undertaking other office duties commensurate with the post
- Supporting projects, team and company events, as required
- Attending team meetings, and any appropriate webinars, seminars and training identified
Person Specification
Education and Experience
Essential
As a minimum, educated to A Level (or equivalent) in a financial subject, or reasonable commensurate experience
Financial administrative experience
Experience of using Sage (or similar accounting software)
Experienced in MS Office applications, especially Outlook, Excel,
Word and SharePoint
A desire to develop a career in financial administration
Desirable
A relevant financial qualification, e.g. AAT
Knowledge and Understanding
Essential
Familiarity with general financial principles, practices and procedures
Detailed understanding of what constitutes excellent customer care
An understanding of data privacy and processing standards
Desirable
Some knowledge of modern farming practices and the current political and economic pressures facing the industry

Terms and Conditions of Employment
Salary and contract
- Salary £26,000 per annum
- 30 - 37.5 hours week (4 - 5 days), worked Monday to Friday
- Permanent contract, with 6 month probation period
- One month notice period (after 6 months)
Holiday
- 25 days per annum, rising by a day a year with service up to 30 days per annum, plus statutory holidays
